1. What We Collect
- Caller phone number and, where provided, name
- The content of the call — what's said, transcribed and/or recorded
- Call metadata: time, duration, outcome (answered, booked, logged, transferred)
- Business information provided by Client during onboarding, used to configure and verify the Services
2. How It's Used
Call and caller information is used solely to operate the Services for Client — answering calls, qualifying requests, booking or logging appointments, sending automated text follow-up, and providing Client with call records. It is not sold, and it is not used to advertise to callers.
3. Recording and Disclosure
Calls handled by the Services include a disclosure at the start of the call stating that the call may be recorded and may be handled by an automated assistant.
4. Third Parties Involved in Delivering the Services
The Services are built on a small number of third-party platforms, each processing some call or caller data as part of delivering the Services:
| Purpose | What It Handles |
|---|---|
| Voice AI platform | Call handling, transcription, and the knowledge base used to answer questions |
| Telephony | Call routing and forwarding |
| Automation/integration layer | Passes call outcomes to text follow-up and to Client's calendar or CRM |
| Client's CRM (where applicable) | Stores booked appointments and caller details, per Client's own account |
Each provider has its own data handling practices; we select providers offering reasonable security and confidentiality commitments, but don't control their systems directly.
5. Retention
Call and caller records are retained for as long as the Services are active for the Client that generated them, plus up to 12 months afterward for record-keeping, unless earlier deletion is requested. Inquiry and prospective-client information not tied to an active engagement is retained for up to 24 months from last contact.
6. Your Rights and Choices
Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you, and to opt out of non-essential communications at any time. To exercise any of these rights, contact us using the information below. For requests concerning a specific call or caller record, we'll work with the Client business to fulfill them, since they're the ones the record was created for.
7. Your Choices
A caller who does not wish to be recorded may decline to continue the call after the disclosure. A Client may request a copy of, or deletion of, their account's call records by contacting us directly.
